Director of Events

A prestigious position as the Events Director doesn't come along too often! This is a rare opportunity and we are seeking to fill it with the perfect polished professional. Our client is a Fairfield County foundation which supports local area initiatives on a local, national and global level. The foundation carries out its work principally through the public facilities and integrated programs, where individuals and not-for-profit organizations can come together to collaborate for the greater good. The Director of Events manages a small team of event planners that work with program directors, non-profit partners, and fellow team members to create actionable plans, implement advance work for operations departments and third party vendors, and oversee overall event execution. An ability to flexibly delegate, communicate, and oversee events simultaneously is essential to manage a wide array of large community events, arts performances, and non-profit meetings in a multiple location venue.

Responsibilities:

  • Manage a team of event planners by assigning events to be planned while overseeing overall progress of planning and execution stages of event
  • Manage the hiring, counseling, and firing of the events team members
  • Train planners on software programs including but not limited to: Ungerboeck scheduling platform, Patron Manager CRM platform, Social Tables room diagram platform, and basic communication programs
  • Design, build, implement and manage unified event processes, best practices and event guidelines in conjunction with Director of Operations and program directors
  • Be the point person for 360-degree event coverage; assuring each event has proper staffing to ensure all guests are served with authentic hospitality and ensuring details and requests are proactively addressed beforehand
  • Manage the event planning calendar to ensure the events can be coordinated and planned in a manageable and high quality fashion
  • Coordinate all aspects of events – including room bookings and sets, timelines, catering orders, signage, production requests, décor, artist relations, transportation, and safety requests
  • Manage the hiring, contracting, supervising and overall relationship of vendors required for events with consultation and approval by leadership team
  • Be an active member of the Leadership Team
  • Collaborate with Program Directors on refinement of event ideas, concepts, and logistics
  • Lead planning for key events including but not limited to the annual fundraiser, VIP tours/visits, special requests from the President of the Foundation
  • Assist in the planning of staff parties and outings
  • Work closely with Marketing Manager and design staff to create event marketing materials for major events from conceptual to post event and event related social media

Education and Experience:

  • Preferred 7+ years minimum work experience in events department with track record of innovation and making an impact in previous work experiences
  • Prior managerial responsibilities, preferably leading an events department
  • Bachelor's degree
  • Experience and interest in internal and external communications, partnership development, and working at an innovative, community oriented, non-profit organization
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point) and Social Media web platforms
