Job Description:

Job Title: Trading Administrative Assistant (for Trading Department) Location: Westport, CT POSITION SUMMARY: We are currently seeking an exceptional candidate who has the initiative, organizational skills, creativity, and conceptual intelligence we need to support Managers. The Administrative Assistant should enjoy working in a fast-paced, dynamic environment and juggling a large number of priorities. The ideal candidate would have the ability to manage a variety of administrative tasks on a daily basis. We are looking for an exemplary communicator - in writing, over the phone, and in person - who is also extremely detail-oriented and organized. Candidates must be willing to give and receive constructive feedback and find ways to improve internal processes and procedures. Exceptional candidates will grow their responsibilities over time, limited only by their skills and ability. POSITION REQUIREMENT:Proficiency in Outlook, Excel, and Word, along with a general comfort level with learning and using new software toolsPrior administrative experience Exceptional organizational skills; ability to prioritize multiple, sometimes competing tasks without sacrificing quality of workExcellent verbal and written communication skillsMust be willing to give and receive constructive feedback and find ways to improve internal processes and proceduresAbility to make decisions within a fast-paced environment Common sense approach to problem solving and prioritizationAble to meet tight deadlines and a willingness to elevate when tasks are at risk of failure or cannot be completed in a timely mannerFlexible, open-minded, and comfortable asking questionsTeam player, who is professional and has a strong attention to detail RESPONSIBILITIES:Proactively managing and maintaining Outlook calendar for Manager including questioning attendance requests; executing on heavy scheduling demands from internal and external parties; communicating with meeting attendees regarding scheduling delays and changesBeing pro-active in identifying areas in which he/she can leverage responsibilities for the Manager Acting as a liaison between the departmentsDeveloping an understanding of the Manager's responsibilities in order to proactively coordinate activities and priorities.Assisting in preparing for meetings and events; this involves coordinating meeting logistics, liaising between conference room coordinators to book meeting conference rooms, arranging food/refreshments, and ensuring production of appropriate materials (this includes Department meetings, Management meetings, and interviews)Supporting the Manager with filing, copying, scheduling, and any other miscellaneous tasks as they ariseEnsuring that items and topics of importance that arise throughout the day are brought to the Manager's attention in an organized and efficient manner Fit Factors to flourish in the specific working environment:Professionally polished in presentation and writingAbility to handle confidential matters and informationArticulateMotivated to excel in role Adaptable to changing prioritiesAbility to stay grounded and focused in a fast-paced work environment
