The purpose of this position is to perform clerical and administrative tasks for SVP and 2 VP's. This person must be capable of interacting successfully with all executives. The successful candidate will be resourceful, pleasant, and not intimidated when confronted with urgent issues. Essential Job Functions: Performing day-to-day administrative includes performing clerical functions such as opening, sorting and distributing incoming correspondence, preparing memos, letters, spreadsheets and/or presentations using Microsoft Word, Excel, PowerPoint and Visio.Uses expertise to field administrative questions.Scheduling meetings, events, programs and activities. Prepare agendas.Manage multiple calendars.Arrange conference calls and schedule conference rooms, plus meeting set up.Arrange and maintain all travel itineraries. Make reservations as requested.Maintain familiarity with all telephone, photocopy, fax, computer, printer, and other equipment.Submit travel and other business related expenses for reimbursement consistent with company policies. Track all reimbursement requests.Assist in the preparation of monthly reports and coding of invoices.Read and analyze incoming memos, submissions, and reports in order to determine their significance and plan their distribution.Greet visitors and determine whether they should be given access to specific individuals.Organize and maintain a filing system.Assist with capital and operating budget tracking, general statistical and reporting processes and other ongoing reports.Properly codes and routes invoices, purchase orders and draft requests for accounting purposes.Handle sensitive information with good judgment and discretion.Distributes Corporate and Industry information as appropriate.Becomes familiar with department and company policies, procedures and activities.Facilities coordination - serve as contact for vendors , serve as contact and resource for issuesArrange and execute employee recognition eventsPerform other general administrative duties and projects as assigned. Job Requirements: Previous experience supporting a GVP or multiple executives is required.High expert skill level on Excel, Word, Outlook, PowerPoint, Visio and PeopleSoft .Must have experience making travel arrangements and managing calendars.Excellent interpersonal and organizational skills.Must be able to prioritize, organize and manage multiple tasks simultaneously.Strong problem solving and analytical skills.Good understanding of Policies and Procedures.Excellent written and verbal communication skills.Must be able to effectively interact with customers, associates and management at all levels.Significant experience coordinating activities and achieving results.Ability to work independently with minimal supervision with excellent dependability and flexibility.
