Townsquare Live Events- Associate Producer

The Townsquare Live Events (TSLE) Associate Producer is responsible for the implementation of TSLE policies and procedures for Townsquare's major music and camping festivals (Crude Fest, Taste of Country Music Festival, Mountain Jam, Country Jam, Headwaters Country Jam, Country on the River, WE Fest and more). He or she implements short and long-term programs and processes to optimize workflow and productivity. The Associate Producer works with TSLE Directors and key managers to make business decisions regarding partner agreements including contracts, addendums and certificates of insurance collected and issued.

The TSLE Associate Producer is responsible for coordination of partner agreements for the event and final reconciliation of event expenses. He or she communicates TSLE insurance requirements, invoice protocols and advance needs for each partner. Once all paperwork is finalized, the Associate Producer sends approved invoices and quotes to the TSLE finance department, who will process and pay all invoices. He or she communicates the status of each partner to the TSLE Directors by using the Contract Status Report. Before, during and after the event, the Associate Producer manages the Preliminary Settlement and communicates all updates to the management team. Once the event is concluded, he or she is responsible for performing the final settlement with the finance department. Additionally, the Associate Producer manages the preferred partner program by tracking established preferred partners, their performance and other considerations using Dropbox. He or she works with the TSLE Directors on developing and maintaining national relationships with partners throughout the country.

RESPONSIBILITIES:

* Maintain TSLE partner database

* Create and submit RFPs for equipment and services needs for events

* Create Partner Welcome Letters, Preferred Partner Agreements, and Statements of Work for all partners

* Work with Directors to negotiate trade deals

* Update Contract Status Reports regularly

* Keep event budget updated with all partner services; submit coded invoices and deposits to Finance department pre-event

* Assess and implement event liability requirements, to include all partner insurance needs

* Advance all partner needs for event

* Work on-site during event, as necessary, managing partners

* Manage preliminary settlement on-site

* Collect all final invoices post-event; submit to Directors for approval; submit to Finance department for final payment

* Collect partner feedback and update partner database

* Work on new events and projects as they arise

KNOWLEDGE AND SKILL REQUIREMENTS

* 2 - 4 years of experience working in an assistant role in the live event / festival production industry.

* Ability to create affective systems to enhance communication and productivity.

* Team player and professional attitude when working as a TSLE employee.

* Knowledge with current technical equipment, including smartphones, wireless mi-fi devices Microsoft Office (Word, Excel, Power Point, Outlook), and willingness to take additional courses to keep up to date with technical trends.

* Ability to problem-solve and efficiently utilize resources available.

* Work reflects professional written and verbal communication and interpersonal skills.

* Ability to simultaneously manage several events during our busy season.

* Willingness to work a flexible schedule, work in wide range of weather conditions and able to travel, often for extended periods of time.

* Good sense of humor.
