Facilities Department Overview: The Facilities Department is comprised of a world class team that fully supports all colleagues across multiple sites. Members of Facilities are responsible for managing all aspects of Corporate Real Estate and Corporate Services, ensuring an excellent work place environment for all associates, clients, and guests. The Corporate Real Estate function oversees management of our property portfolio, space projections, strategy, and space delivery to meet the company's business and occupancy needs. The Corporate Services group contributes to sustaining the community by providing services in the form of hospitality, customer service, business continuity, and operation of critical and non-critical building infrastructure. Position Summary: The Reception Team has the distinct responsibility of acting as the face of the company by screening all incoming calls to the main line, greeting everyone who walks into our lobbies across all sites, and serving as a central resource of information and assistance to employees across the firm. The team is also responsible for acting as the first line of security for visitors entering the building and operating consistently with access control policies. We are seeking a highly professional, polished, outgoing, team player with common sense who is interested in providing customer service to the highest standards while continually searching for ways to improve. An ideal candidate will be open to working rotating non-traditional hours such as 7:30am-4:30pm; 8:00am-5:00pm; 9:00am-6:00pm; be flexible about working at different sites, and will thrive in a fast paced and high energy work environment. Responsibilities would include: ?? Answer and direct all internal and external calls that flow through reception ?? Utilize the Visitor Management System (VMS) to monitor all guest arrival and departures while ensuring an excellent guest experience ?? Be a central information resource to the firm and provide assistance on employee concierge type services ?? Be a resource to locate and connect employees with each other using the paging system ?? Partner with security team to ensure all guests and employees comply with security policies ?? Work on projects that advance the goals of the team and department ?? Provide leverage to the manager for the hiring process with phone screens, interviewing, and skill testing ?? Develop and implement Receptionist training plans for new Reception hires Position Requirements: ?? Bachelor's degree required ?? Common sense thinker who can apply sound judgment in new or ambiguous situations ?? Effective multi-tasker in a fast paced environment ?? High degree of composure and interpersonal skills ?? Personable and outgoing, comfortable with VIPs ?? Approachable ?? Strong customer service focus ?? Organized ?? Ability to formulate processes necessary to accomplish goals in the most efficient and effective way ?? Excellent written and verbal communication skills ?? Ability to accurately prioritize problems/initiatives ?? Open minded, questioning, and reflective, someone who is comfortable giving and receiving feedback ?? Proficiency in Microsoft Office programs (Outlook; Excel; Word) as well as a general comfort learning and using new software tools. Preferred candidates would also meet the following criteria: ??
